Privacy Policy

This policy explains what Hostbook collects when you buy a welcome guidebook for a short-term-rental property, how we use it, and how long we keep it. Questions can be sent to hostbook@forage.bot.
1. Information we collect
- Your email address, so we can send you the preview link.
- The property nickname, type, city, your name as host, your welcome note, WiFi network and password, door code or key handoff instructions, checkout instructions, house rules, your supplied local picks (place names + your notes), getting-around notes, transit notes, emergency info, nearest hospital, and nearest urgent care. We use these only to generate that one guidebook and to render the private hosted page you share with your guests.
- Payment and order metadata such as purchase time, price, refund status, and Stripe identifiers.
- The generated guidebook payload, the share token that gives the hosted page a private URL, and the order record that points to them.
- Anonymous hit counts on the published
/g/{token}page so we can tell you whether guests have opened it. We do not record who opened it. - Feedback, support, and abuse-report messages you (or anyone viewing the page) send through the site or by email.
- Basic technical logs such as IP address, user agent, request path, timestamps, and diagnostic metadata generated when the site is used.
2. How we use information
- To generate the welcome guidebook you asked for and render the private hosted page.
- To process payments, refunds, and delivery emails.
- To operate, secure, debug, and improve the service.
- To answer support requests and review product feedback.
- To maintain accounting, tax, and legal records.
We do not sell personal information or use third-party ad trackers on the site. We do not contact your guests directly — only the buyer ever receives messages from us. The buyer copies the hosted URL and shares it with guests through whichever channel they prefer.
3. Providers we use
- Stripe for payment processing and refunds.
- Vercel for hosting, server functions, blob storage, and privacy-focused site analytics.
- Resend for transactional delivery emails.
- OpenRouter and one or more upstream model providers to turn the facts you supplied into the polished guidebook text. The model is constrained to compose around the facts you submitted; it does not enrich with external knowledge.
- GitHub for internal issue tracking tied to feedback and support workflows.
4. Retention
Your order record stores the facts you supplied, the generated guidebook payload, and the share token for as long as we need it to keep the shared URL working, issue a refund, and keep accounting / tax records. We do not use your facts for any other customer’s guidebook.
When you take a hosted page down, the public URL stops resolving immediately and the underlying record is hard-deleted after seven days. Generated output, order metadata, refund records, and delivery artifacts may remain in our system for support, accounting, security, or legal reasons. The print PDF, once downloaded or printed, is in the wild and cannot be revoked.
5. Your choices
Do not submit confidential information (e.g. permanent access credentials to assets that are not the rental, third-party confidential material, etc.). If you want us to remove an existing order, contact hostbook@forage.bot, or use the take-down link in your receipt email. We will review the request subject to legal, accounting, fraud, and operational retention needs.
